# Refresh reports

## Why this matters

Delivery reports and replies arrive after you send, sometimes over a day or two. Refreshing writes whatever has come in so far into your [report columns](/docs/replies-and-reports/report-columns/), without touching the rest of your data.

## Before you start

The sheet has report columns, including `exs_jobReference`, from a send with **Add report fields to spreadsheet** ticked.

## Steps

1. Open the workbook you sent from and click a **single cell** in the sheet.
2. Click **Send SMS** on the **Home** tab, then open the **Reports** tab.
3. Check **Mobile number field:** is the column you sent to.
4. **Report:** lists the job references found on the sheet. Each links to that job in the ExcelSend portal.
5. Click **Refresh**. ExcelSend shows "Getting report data for job …" for each job, then "Refresh complete".

Refresh again later to pick up replies that arrive after your first refresh. Each refresh overwrites the report columns with the latest data.

## Common problems

**Nothing happens when I click Refresh**
Several cells are selected. Refresh only works on the whole sheet: click a single cell and try again.

**"No Job References"**
The sheet, or your selection, has no values in `exs_jobReference`. Check you're on the sheet you sent from.

**"Job report: no exs_jobReference field found"**
The `exs_jobReference` column has been renamed or deleted. Restore the header exactly as `exs_jobReference`.

**"Job report: please select mobile field"**
Choose the mobile number column in **Mobile number field:**.

**A reply appears on the wrong row**
Rows are matched by mobile number and job reference. If one number appears twice in a send, both rows can show the same reply. Remove duplicate numbers before sending.
